Goldenwood Inc. ("Goldenwood," "we," "us") is a faith-rooted nonprofit community. This policy explains what personal information we collect through goldenwoodnyc.org and our programs, why we collect it, who helps us handle it, and the choices you have. We try to collect only what we need to welcome you well.

What we collect

We collect information you give us, information created when you take part in Goldenwood, and a small amount of technical information.

  • Contact details: your name, email address, and, when you choose to share them, your phone number, organization, role and city.
  • Registrations and applications: the events or programs you sign up for, your answers to registration or application questions (for example dietary needs, accessibility needs or why you are applying), and whether an application was accepted or declined.
  • Payments and gifts: the amount, date, item and status of a payment or donation. Payments are handled by our payment providers; Goldenwood never sees or stores your full card number.
  • Messages: what you write to us through contact or interest forms, by email, or in comments left on review pages we invite you to.
  • Email activity: whether you are subscribed to our newsletter and, where our email provider reports it, whether a message was delivered, opened or bounced.
  • Our notes: a record of your relationship with Goldenwood, such as events attended, tags and notes our staff add to help us serve you.
  • Technical information: basic information your browser sends when you visit (such as IP address, browser type and pages requested), which our hosting and service providers use to deliver and secure the site.

How we use it

  • To register you for events and programs, take payment, send confirmations, reminders and practical details, and refund or transfer registrations.
  • To review applications and let you know the outcome.
  • To respond to your questions and requests.
  • To send our newsletter and event announcements, if you have asked to receive them.
  • To process donations and send you a receipt.
  • To understand and care for our community, plan future programs and keep accurate records.
  • To keep the site and our systems secure, prevent fraud and meet our legal and accounting obligations.

We do not sell your personal information, we do not share it for cross-context behavioral advertising, and we do not use advertising trackers on our site.

Email and your consent

We send our newsletter and event announcements only to people who have signed up or who have asked to hear from us. Every marketing email includes an unsubscribe link, and supported email apps also show a one-click unsubscribe option. Unsubscribing takes effect right away. If you register for an event, we will still send the messages you need for that registration, such as confirmations, receipts and practical updates.

Who helps us

We use trusted service providers to run the site and our programs. They process information on our behalf and only as needed to provide their service:

  • Stripe, for event payments and checkout. Depending on the event, checkout may offer cards, Apple Pay, Google Pay, Klarna or Afterpay. If you choose Klarna or Afterpay, that provider receives the information it needs to offer you financing, under its own privacy policy.
  • PayPal, for donations made through our Give page.
  • Supabase, which hosts our database and staff sign-in (in the United States, East region).
  • Vercel, which hosts the website.
  • Sanity, where our website content is stored and edited.
  • Resend, which sends our emails.
  • HubSpot, which we use as our contact database alongside our own records, and for some forms on the site.
  • Google, for staff who choose to sign in with a Google account.
  • Adobe Fonts, which serves the typefaces on the site.
  • Spotify, YouTube and Vimeo, whose players are embedded on some pages.

Each of these companies has its own privacy policy, and some act as independent businesses for parts of what they do (for example, Klarna and Afterpay when they decide whether to offer you a payment plan). We may also share information when the law requires it, to protect the safety of our community, or as part of a merger or transfer of Goldenwood's activities to another nonprofit, in which case this policy would continue to apply.

Cookies and similar technologies

Goldenwood itself uses only what is needed for the site to work:

  • A sign-in session cookie for staff using the admin area.
  • A review-mode cookie for people we have invited to comment on draft pages.
  • Your browser's local storage, to remember how you last viewed the events calendar.

Some third parties may set their own cookies when you use their features: Stripe during checkout (largely for fraud prevention), HubSpot on pages that include a HubSpot form, and Spotify, YouTube or Vimeo when a page includes their player. We do not use advertising or cross-site tracking cookies. You can block or delete cookies in your browser settings; the site will still work, though checkout and some embedded media may not.

Your choices and rights

Wherever you live, you can ask us to:

  • Tell you what personal information we hold about you and give you a copy.
  • Correct information that is wrong or incomplete.
  • Delete your information.
  • Stop sending you marketing emails.

Residents of California and of other states with privacy laws (such as Colorado, Connecticut, Virginia and others) may have these rights under those laws, along with the right to opt out of the sale or sharing of personal information and of targeted advertising. We do not sell or share personal information in those ways, so there is nothing to opt out of, but you are welcome to ask. We will not treat you differently for exercising any of these rights.

To make a request, email info@goldenwoodnyc.org from the address we have on file, or tell us how to reach you. We may need to confirm who you are before acting on a request, and you may ask someone to make a request on your behalf if we can confirm they have your permission. We will reply within 45 days. Some information may need to be kept even after a deletion request, for example records of payments, refunds and donations that we are required to keep for tax and accounting purposes.

How long we keep information

We keep personal information for as long as we need it for the purposes described here. In general, we keep contact and participation records while you are part of the Goldenwood community and for a reasonable time after; payment, refund and donation records for as long as tax and accounting rules require (usually around seven years); and application answers for programs you were not accepted to for no more than two years, unless you ask us to keep them for a future cohort. When information is no longer needed, we delete it or make it anonymous.

Security

We use reputable providers, encrypted connections, restricted staff access and secure sign-in to protect your information. No system is perfectly secure, so if we ever learn of a breach that affects your personal information, we will tell you as the law requires.

Children

Our site and programs are meant for adults. We do not knowingly collect personal information from children under 13. If a family event welcomes children, a parent or guardian registers and gives any details we need. If you believe a child under 13 has given us personal information, please email info@goldenwoodnyc.org and we will delete it.

Visitors outside the United States

Goldenwood is based in the United States, and our providers store and process information in the United States and other countries. If you visit from elsewhere, your information will be transferred to and handled in the United States, where privacy laws may differ from those where you live.

Changes to this policy

We may update this policy as our programs and tools change. When we do, we will change the date at the top of this page, and if the changes are significant we will let you know by email or with a notice on the site.
